    Administrative Assistant

     

    We are currently seeking an Administrative Assistant based at the head office in Montreal for one our client. We are looking for person who autonomous, meticulous and creative with a previous experience supporting a sales team.

    Responsibilities:

    • Create reports with different IT tools
    • Create different work tools to support sales department as requested by the sales manager and produce different reports.
    • Establish and coordinate administrative policies and procedures for managers;
    • Review memos and reports received;
    • Prepare presentations and reports to executives;
    • Prepare and organize the agenda
    • Perform research, compile data and prepare documents;
    • Meet with individuals, special interest groups, to identify issues, evaluate and recommend various actions;
    • Liaise with senior management of the company and other organizations or associations on behalf of management;
    • Translate documents (French and English);
    • Replace the receptionist when needed during her absence;
    • See external and internal mail management (folding, postage, distribution);
    • Look for purchase orders and associate them with invoices, if necessary;
    • Prepare the sending of invoices according to our standards;
    • May be required to provide administrative assistance to other services when needed.

     

    Requirements :

    • Diploma in secretarial studies;
    • Minimum of 5 years experiences as an administrative assistant, preferably in a sales department;
    • Advanced knowledge of suite MS Office
    • Bilingualism;
    • Excellent writing skills
